1. A commercial statement, a commission offset, and a supplier tax invoice are not automatically the same document.
2. Match Agoda compensation to the correct booking and agreement before testing the period total.
3. A guest refund does not, by itself, prove that Agoda's commission or a related tax amount has been reversed.
An Agoda commission invoice audit should begin before finance posts an invoice or schedules a payment. What document has the hotel actually received, what period does it cover, and has the charge already been deducted elsewhere?
“Commission invoice” is often used broadly, but the audit needs the document's actual title. Agoda may provide a Commercial Statement or booking-level compensation records. Those records support an audit, but they should not be relabeled as supplier tax invoices without verification.
Establish the Document, Entity, and Period
Record the property, relevant legal entity, document title or reference, currency, issue date, coverage dates, and the basis used to include bookings. Check whether the document is a statement, invoice, adjustment, or tax document.
For Agoda Commercial Statements, the booking population is based on check-in dates, not automatically the hotel's revenue month or bank-payout month. Keep the stated coverage when selecting the comparison list. Later cancellation or no-show corrections may appear in a later cycle.
Commercial Statements are sent to property contacts, rather than being stored in Partner Portal. Retain the original finance email and attachment; request a replacement through the approved Agoda support route if it is missing. Do not download an unrelated marketing invoice to fill the gap.
Check Whether the Amount Was Already Offset
Under Agoda's Property Collect offset model, the guest pays the hotel and Agoda compensation is deducted from prepaid bookings owed to the property. That is not a standard separate invoice-payment process.
A commercial statement is therefore not, on its own, an instruction to transfer the listed commission again. Trace the existing deduction or approved settlement instruction before scheduling any payment.
Keep this audit distinct from explaining a bank payout. Here the question is whether the commission-supporting record is complete and correct, not why one deposit differs from the guest's total.
When finance's list and the reservation history disagree, use hotel reporting and exports to identify the booking source, stay, and recorded amounts. Smart Order brings those operating records into the review so staff can locate the stay behind a commission line. Agoda's agreement and source document still establish the actual channel charge.
Trace the Commission Line to the Stay Behind It
Review reservation source and recorded amounts before posting a channel expense, disputing a difference, or paying an amount already settled by offset.
Verify Agoda Commission at Booking Level
Start from the property's actual agreement, not a rate copied from another hotel. Compensation can be based on a percentage of a reference sell amount or a markup on a loaded rate. Those are not interchangeable calculations.
In Agoda Partner Portal, Finance then Contracted compensation provides the agreement details. For Agoda Collect, open Bookings, Reservations, the booking, then Payment & pricing and Price breakdown. For Property Collect, use Finance, All transactions and match the reference to the booking ID. Menu labels can vary by account.
Use this audit sequence without changing the original documents:
- Match the booking identity. Verify property and Agoda booking reference, dates, currency, and collection model. Guest surname alone is insufficient.
- Confirm the applicable agreement. Check the compensation method and any approved program affecting the booking. Do not assume today's standard percentage explains an older transaction.
- Check the calculation base. Identify the amount to which the percentage or markup applies, including its contractual tax and fee treatment.
- Review the booking outcome. Compare the completed stay, amendment, cancellation, no-show, or waiver with its supported compensation outcome.
- Find related corrections. Link each adjustment to its original line and the period in which it appears. Separate confirmed corrections from expected ones.
- Test completeness both ways. Match every document line to a reservation, then check relevant reservations for an omitted charge or correction.
Only then sum the supported lines in each currency. A total can look correct while one booking is missing and another appears twice.
Separate the Guest Refund From the Commission Correction
Consider a hypothetical booking with an agreed commissionable base of USD 400 and compensation of 15%, or USD 60. These figures illustrate a percentage agreement; they are not Agoda's general rate.
Suppose the reservation is later corrected and Agoda confirms a revised commissionable base of USD 300 under the same percentage. The supported compensation becomes USD 45. If the original USD 60 was already recorded, a confirmed USD 15 reduction explains the difference.
A USD 100 guest refund alone does not establish that result. First verify that the refund changed the commissionable amount under the agreement and that the correction was accepted. A goodwill refund, partial cancellation, and waived fee can have different consequences.
If the USD 15 correction is expected but not yet present, leave an identified pending adjustment rather than inventing a credit note. When it arrives in a later document or finance record, match it back to the original booking and clear the pending item once.
Check the front desk reservation history for the actual agreement with the guest and the hotel payment record for any hotel-issued return. The guest refund, Agoda compensation adjustment, and bank settlement remain distinct events even when they concern the same stay.
Verify Tax Evidence Without Treating the Statement as the Answer
Supplier-Side Tax Is a Separate Check
Identify whether any supplier tax is shown, who issued the document, the recipient details, relevant registration information, taxable amount, currency, and supporting correction reference where applicable.
Do not infer a zero tax liability, an exemption, or a recoverable credit because a statement has no tax line. Have the hotel's accountant determine the treatment and required evidence for that entity and location, including any tax the hotel must calculate itself or deduct and remit.
If the document is not valid evidence for the proposed tax entry, flag the missing evidence and request the appropriate clarification. Do not edit Agoda's attachment or create a supplier invoice in its name.
The Guest's Accommodation Invoice Is Another Document
The hotel guest bill concerns accommodation; the Agoda compensation record concerns distribution services. A net payout after commission does not automatically become the guest's accommodation value.
Use the applicable guest-facing sell amount and locally required documentation process. Do not provide the guest with the hotel's confidential supplier-cost file as a substitute for their accommodation invoice.
An Adjustment May Need Its Own Tax Review
A commission correction does not automatically settle every related tax entry. Link the original document and accepted correction, then let finance apply the proper period and treatment.
Preserve the old evidence and explain the later change. Do not backdate a supplier document to force an already closed period to agree.
Sign Off a Supported Amount and an Explicit Exception List
Approve the matched population and amounts, while listing any missing document, wrong booking, unexplained calculation base, pending adjustment, or unresolved tax evidence separately.
For an Agoda-side difference, provide the property and booking IDs, document reference and period, agreement basis, expected and recorded amount, currency, and the amendment or adjustment evidence. Explain the exact disputed line instead of asking support to interpret the hotel's entire ledger.
Before paying or clearing an account, verify what has already been offset or settled. Before claiming a tax treatment, verify the document and local requirements. The audit is complete when each amount has a source and each remaining exception has an owner, not when every file has been renamed “invoice.”
