How to Update Rates and Inventory on Rakuten Travel
Quick Summary
1. Use Rakuten's management screen when your property manages prices and inventory directly there.
2. Use Room Management Top for an individual plan or the available bulk function for a date range.
3. A connected hotel should change the value in its usual hotel system, confirm the save, recheck Rakuten, and contact the responsible provider if the values differ.
4. Always verify the exact room, accommodation plan, stay dates, price basis, and available units.

To update rates and inventory on Rakuten Travel, first decide where your property normally manages those values. A directly managed property uses Rakuten's hotel management screen. A connected property usually makes routine changes in its PMS or channel manager.

Mixing the two methods can make a manual price revert, reopen sold inventory, or leave one accommodation plan unchanged. Use one routine workflow, then check the exact room-plan-date combination guests can book.

Decide Where to Make the Rakuten Update

Use Rakuten's management screen when the rate and inventory fields are managed directly there. Use your connected hotel system when it normally sends those values to Rakuten.

Some properties use a hybrid setup. For example, the connected system may update room prices and available units while the hotel manages a Rakuten-specific accommodation plan or promotion in the Rakuten screen.

Before editing, write down the property, room, accommodation plan, stay dates, weekdays, occupancy basis, approved price, available units, and any close-out decision. Avoid a broad instruction such as “raise weekends” without exact dates and products.

Update One Rate or Plan in the Rakuten Management Screen

Rakuten's public operator guidance identifies Room Settings & Reservation Management and Room Management Top as the main route. Labels may appear in Japanese and can vary by account.

  1. Sign in and confirm the correct property.
  2. Open Room Settings & Reservation Management.
  3. Select Room Management Top.
  4. Find the intended room type and accommodation plan.
  5. In the plan's Rate area, select Change.
  6. Confirm the accommodation plan, stay period, and price basis.
  7. Enter the approved rate and review meals, occupancy conditions, sales dates, and excluded dates.
  8. Use the displayed confirmation or registration action, review the summary, and save.
  9. Return to Room Management Top and reopen the affected dates.

Use the dedicated inventory or close control when you need to stop sales. Do not use an unusual price as a substitute unless your current account explicitly documents that behavior.

With Smart Order's hotel channel manager, the hotel can update connected Rakuten room prices and available units from the same operating calendar, then verify the result in Rakuten.

Update Inventory and Rates for Multiple Dates

Use the available bulk inventory-and-rate function when the same approved rule applies across a defined date range.

  1. Open Room Management Top and choose the bulk inventory-and-rate function shown in the account.
  2. Set the stay-date range, not the booking-date range.
  3. Select only the intended weekdays when the change is not daily.
  4. Choose the correct room type and accommodation plan.
  5. Enter available units and the approved selling rate in their separate fields.
  6. Review holidays, excluded dates, existing close-outs, and whether several plans share the same room inventory.
  7. Confirm or register the update once.
  8. Reopen the first date, last date, one included weekday, and one excluded weekday.

Test a short, low-risk range before changing several months. A wrong room, plan, unit basis, or date range becomes harder to reverse after a broad update.

Extending a room or plan's selling period is not the same as adding available units. After an extension, inspect the new dates for blank or zero inventory and prices before opening them to guests.

Use a Connected PMS or Channel Manager in Four Steps

If your property normally updates Rakuten through a connected system, keep the process simple:

  1. Change it in the usual hotel system. If Smart Order is the connected system, make the change in its channel manager. Select the correct property, room, plan, stay dates, price, and available units.
  2. Confirm the save. Reopen the same dates in that system and make sure the approved values remain visible.
  3. Recheck Rakuten. Open the matching room and accommodation plan in Rakuten and confirm the stored values, then check the public guest offer.
  4. Contact the responsible provider if the values differ. For a Smart Order connection, start with Smart Order support. Contact Rakuten support when the provider confirms the change reached Rakuten but the management screen remains different.

Do not repeat the same update in both systems while the first change is still being checked. A second manual edit can hide the original problem or be overwritten later.

Verify the Stored Values and Guest Offer

Reopen the Rakuten management screen and check the exact room, accommodation plan, stay dates, price, and available units. Make sure a bulk change did not affect excluded weekdays or a neighboring plan.

Then search Rakuten Travel as a guest. Match the stay dates, room count, adults and children, room, plan, meals, cancellation terms, membership or point conditions, tax display, and payment method. Compare the final bookable amount, not only the first price shown in search results.

A stored price does not make the plan bookable when inventory is zero or its selling period, stay period, booking deadline, room-plan relationship, or restriction blocks the stay.

Troubleshoot a Wrong or Missing Rakuten Update

The value saved and later changed back. Check whether a connected system, scheduled job, bulk update, or another user wrote a later value. Continue from the system where the property normally manages the field.

The management screen is correct but the public price differs. Compare occupancy, meals, member points, coupons, taxes, fees, cancellation terms, and payment conditions. Make sure you are checking the same accommodation plan.

The plan has a price but cannot be booked. Check available units, selling period, stay period, booking deadline, close status, and availability for every night of the stay.

New dates are blank or zero. Confirm whether a selling-period extension created dates without usable inventory or prices. Load both before opening the dates.

Support tip: Give the PMS or channel-manager support team the property, room, and plan names; stay dates; expected and visible prices and units; screenshots; and save time with time zone. The provider should review provider mapping, the delivery response, queue or acknowledgement records, and the connection's supported field range—hotel managers do not need to interpret those technical records.

Where do hotels update Rakuten Travel rates?

Directly managed properties generally use Room Settings & Reservation Management > Room Management Top, then the plan's Rate > Change control or the available bulk function.

Should a connected hotel edit Rakuten manually?

Use the connected system for routine supported changes. Make a manual Rakuten change only under an approved exception process that prevents the next automated update from replacing it.

Is extending the selling period the same as adding rooms?

No. Extending creates later dates for configuration. Those dates may still need valid prices and available units before guests can book them.

What proves the Rakuten update worked?

The intended values remain saved for the correct room, plan, and dates, and a matching guest search shows a bookable offer with the expected final price.
